Application Process, Review and Deadline

Submission of application to the AAS

All application forms should be submitted through the AAS Grants Management System (Ishango). Register as a user  to apply. See sample application form here

Answers should be restricted to the text boxes provided; the text boxes will expand automatically as you type. Where required you MUST adhere to the word limit.

Applicants must give an outline and justification of the funds they are requesting as well as a proposed timeline for their visit.

Abbreviations should not be used unless fully explained.

The opening date for the submission of your fully completed forms online will be 08:00 GMT on Tuesday 3 April 2018.

The deadline to submit your application will be 17:00 GMT on Friday 25 May 2018.

In addition, applicants will be required to provide the following information at the application stage to enable us to assess eligibility to receive travel awards:

  1. Evidence of support for exchange by an academic supervisor/line manager from applicant’s institution (release letter)
  2. Evidence of support from host institution (letter of acceptance)
  3. Curriculum Vitae.

Applications can be submitted in either English or French.  The help desk will be provided in both languages.

If successful, the funds will be received and administered by the home institution (employer). The support letter should be clear on the institution's agreement to manage with prudence and integrity the funds received.


Currency Details

You are requested to calculate your budgets using the local currency’s most current USD exchange rate and be willing to disclose the exchange rates used to the AAS as necessary.

Financial Support

The award will cover directly incurred costs up to $20,000 for durations of up to 6 months.   This is to cover the applicant’s visa fees, airfare (Economy class), subsistence whilst on the visit, language training costs for up to $2000 and research costs (where required, such as lab reagents).

The amount of each individual award will vary according to location and timescale. For example, if staying for a 6-month placement, the applicant may be expected to source university accommodation or a short term let. However, if visiting for a week, a hotel or equivalent may be more suitable. The decision committee will consider whether the expenses are reasonable and may ask for revised costing.

Please note that the grant can only be used to deliver the objectives stated in the grant application.  Ensure that the best estimates for the full cost of undertaking the project described in the application are requested.

Applicants may not seek funding for conference attendance, salary, equipment, per diem and indirect costs.
